Projects & Kanban
Projects help you organise tasks into workstreams. Each project has its own kanban board with customisable columns.
Creating a Project
Create projects in Settings > Projects. Each project has a name, description, and kanban column configuration.
Kanban Boards
Each project has a kanban board where tasks are organised into columns representing workflow stages.
Default Columns
| Column | Status | WIP Limit |
|---|---|---|
| Backlog | pending | — |
| In Progress | in_progress | 3 |
| Done | done | — |
| Cancelled | cancelled | — |
Custom Columns
In project settings, you can add, rename, reorder, or hide columns. Each column can have:
- Name — Display name
- Status key — Internal identifier
- WIP limit — Maximum number of tasks (displayed as a badge)
- Done column — Whether this column represents completion
- Hidden — Hide from the board but keep data
Task Cards
Each task on the board appears as a card showing:
- Priority colour indicator (left border: red/yellow/grey)
- Task title
- Project badge (colour-coded)
- Due date (if set)
- Quick-move buttons to jump to another column
Drag and Drop
Drag task cards between columns to change their status, or drag within a column to reorder. Visual indicators show where the card will land.
Adding Tasks to a Board
Use the input at the top of the kanban view to create a new task and assign it to a column.
Global Kanban View
The Projects page shows a global kanban that combines tasks from all projects. Use the project filter dropdown to focus on a specific project. Task cards display which project they belong to.
This view is useful when you want to rebalance work across multiple projects without opening each board separately. For example, you can filter to one project while planning, then switch back to the combined view to see overall workload and bottlenecks.
WIP Limits
Work-in-Progress limits help prevent overloading. When a column reaches its WIP limit, a badge shows the count. This is a visual reminder — tasks can still be added beyond the limit.
AI Kanban Card Suggestions
AI can detect work items in notes and suggest kanban cards for specific projects. These appear as Kanban Card suggestions in the Process Queue.
