1. What we collect

When you create an account: your email address and, optionally, your name.

When you use the cloud service: the notes, tasks, attachments, and other content you create and sync. This is stored on our servers to provide the sync service.

We collect minimal usage data (page views, feature usage) to understand how the application is used. We do not use third-party analytics services or tracking scripts.

2. How data is stored

Your data is stored in SQLite databases on our servers. The database files are stored on encrypted volumes. Connections to the service use TLS encryption.

3. AI processing

When AI features are enabled, portions of your note content are sent to the Mistral API for processing. This includes text analysis for tag suggestions, concept extraction, voice transcription, and image OCR.

You can disable AI processing entirely in your settings. When disabled, no content is sent to any external AI service.

4. Third parties

We share data with a limited number of third parties, only as needed to operate the service:

  • Mistral AI — note content for AI analysis (only when AI features are enabled)
  • Payment processor — billing information for subscription management

We do not sell your data. We do not share your data with advertising networks. There are no third-party tracking scripts on the site.

5. Desktop app

The desktop application stores all data locally on your device. No data leaves your computer unless you explicitly enable cloud sync. The desktop app works fully offline without an account.

6. Cookies and local storage

We use cookies and browser local storage for:

  • Session authentication — keeping you logged in
  • Theme preference — remembering your chosen theme and aesthetic

We do not use tracking cookies, advertising cookies, or any third-party cookie services.

7. Data retention

Your data is retained for as long as your account is active. If you delete your account, your data is removed from our servers within 30 days, including from backups.

8. Data export

You can export all your data at any time through the settings page. Exports are provided in standard formats (JSON, markdown) that can be used independently of OikoNotes.

9. Your rights

You have the right to:

  • Access — view all data we hold about you
  • Correction — update your personal information
  • Deletion — delete your account and all associated data
  • Portability — export your data in standard formats
